Privacy policy & GDPR

This policy describes the current configuration: local assistant, contact forms and whitepaper downloads. It should be reviewed if additional third-party services are enabled.

Data controller

Data collected

• Contact form: name, email, company, need and message.
• Call request: name, email, preferred date/time and topic.
• Whitepaper: first name, company and email.
• Minimal technical data required for security and hosting operations.

Purposes

To answer enquiries, qualify a need, arrange a discussion and provide the requested whitepaper. Downloading the whitepaper does not automatically subscribe you to a newsletter.

Legal basis

Processing is primarily based on steps requested before entering into a contract and, where applicable, explicit consent.

Retention

Prospect data is retained only for a reasonable period required to follow up the request, then deleted or anonymised when no longer useful, subject to applicable legal obligations.

Website assistant

The Pretoria BI assistant runs locally in the browser from an embedded knowledge base. Conversation text is not sent to a third-party AI provider.

Hosting and form processing

The website is hosted on Cloudflare. Form submissions are processed server-side on Cloudflare infrastructure. Depending on production configuration, they may be stored in Cloudflare D1 and/or sent to Pretoria BI as an email notification through the configured mail provider.

Cookies and local storage

The current configuration does not set advertising cookies. Browser local storage may be used to remember the selected language. If additional analytics or marketing tools are introduced, the consent mechanism must be updated.

Your rights

You may request access, rectification, erasure, restriction or objection where applicable, and withdraw consent where consent is the legal basis. Contact contact@pretoriabi.com. You may also contact the competent supervisory authority.

Recipients

Data is not sold. Access is limited to the people and service providers required to process the request and operate the website, within the scope of their role.

Security

Pretoria BI applies data minimisation: collect only what is needed, restrict access and avoid unnecessary copies. Forms use server-side validation, a hidden anti-bot field and technical rate limiting. A short-lived pseudonymous identifier may be generated from technical information to limit abuse without storing the raw IP address in the lead database.
